Below are the instructions for presentation and discussion in the full and short paper presentations.

For Moderators and Presenters: Pre-testing

  • The full and short paper presentations and keynote lectures at AIJISA 2020 will use Zoom meetings as an online platform.
  • When using Zoom, a wired internet connection is recommended, not WiFi (Zoom Help Center: wireless (WiFi) connection issues).
  • Please check how to use Zoom before the day. A test connection is available on the official Zoom website: https://zoom.us/test

For Moderators, Presenters and General Participants: Your Name in ZOOM

  • Your name in Zoom should be used as real name. You can change your name either before or after logging in Zoom.
  • If you are a presenter, please add your full or short paper ID to your name in Zoom. After the presentation session, you may remove your paper ID and use only your real name.
  • For example, “R01JaneSmith” or “H01JohnLiu” (R01: full paper ID, H01: short paper ID)

For Presenters

  • The presentation times are as follows.
    • 1st bell: 11 minutes (Preannouncement)
    • 2nd bell: 12 minutes (Finish your presentation and start discussion)
    • 3rd bell: 15 minutes (Finish discussion)
  • Presentation times are strictly adhered to. Your presentation starting time may vary. Please enter the Zoom in advance.
  • Rehearse in advance so that sharing the screen (sharing presentation slides and sound if necessary) does not take too long.
  • Please unmute (microphone on) and turn on the video during your presentation.
  • The moderator will act as timekeeper, but you may not hear the alarm. Be careful.

For Moderators

  • In addition to the role of moderator, ask for a timekeeper. Please prepare a bell and clock or a timekeeper app ready.
  • Please unmute (microphone on) and turn on the video while moderating.
  • If a presenter is not able to present at the appropriate time due to a bad connection, please reschedule their presentation to the end of the session. If the presenter’s voice is hard to hear, it is at the moderator’s discretion to redo the presentation.

For Moderators, Presenters, and General Participants: How to Ask Questions

  • Use the Zoom meeting for questions.
  • If you have a question for the presenter, you can input only “I have a question” or a brief description of your question after writing “I have a question.” to the Zoom chat box. The chat should be addressed to “everyone”.
  • Questions for the presenter may be filled during the presentation.
  • The moderator chooses the questioner with the question from the chat box”. Then the moderator verbally requests a question, “Mr. XXX, please ask a question.”
  • Then the questioner unmutes and verbally ask the presenter a question. When the discussion is over, mute on again (mic off).
  • The presenter answers the questions.
  • Repeat above.

Notes

  • Please use your real name for Zoom participants (see above). Those who are not registered or whose names cannot be confirmed may be asked to leave the Zoom.
  • Attendance by phone is not allowed (PC, smartphone, etc. only).
  • Microphones must be “muted” (turned off) except when speaking.
  • You may join the session with the video on, but we may ask you to turn it off if the line is busy.
  • Administrators may be forced to turn off the microphone or video. If you cannot abide, you will be asked to leave.
  • Please refrain from taking screenshots, recordings, or video recordings as they may interfere with a presentation and are a violation of copyright law. If you are found to have done so, you will be asked to leave the symposium and appropriate action will be taken. The organizer may do this action for the record.
  • It is strictly prohibited for multiple people to watch the program or to share the Zoom ID and passcode with other people based on one person’s application.
  • A wired Internet connection is strongly recommended. Please forgive any disruptions in image and audio quality or delivery.
  • Please note that we are unable to answer any questions on how to use Zoom, so please check the Zoom Help Center.
  • This is not a recorded transmission and cannot be viewed after the symposium.
